The Needle-Mover Priority Checklist

As a coach or entrepreneur, it's easy to get buried in daily tasks that feel urgent but don't actually move your business forward. Use this checklist weekly to cut through the noise and focus on what truly matters.

1. Will this activity directly bring in new clients?

Revenue-generating activities should be your top priority. If a task doesn't lead to client acquisition—either directly or indirectly—question whether it deserves your time today.

2. Does this strengthen my personal brand?

In a crowded marketplace, your unique voice and positioning matter. Choose tasks that help you stand out—sharing your story, refining your message, or showing up consistently where your ideal clients are.

3. Am I clear on who this serves?

Every action should connect to your target audience. If you can't articulate exactly who benefits from this task, you may be spreading yourself too thin. Get specific about your ideal client before proceeding.

4. Does this align with my coaching "why"?

Reconnect with your purpose. Tasks that align with why you coach in the first place will energize you and resonate with your audience. Busy work that feels disconnected from your mission is usually a sign to delegate or delete.

5. Can this help me develop content or messaging?

Building a story bank—personal experiences, client wins, lessons learned—feeds your marketing and helps you connect authentically. Prioritize activities that give you material to share.

6. Would ignoring this hurt my business this week?

Many tasks feel urgent but have no real deadline. Ask yourself: if I don't do this today, will it genuinely impact my business? Most "urgent" items can wait—focus on what truly can't.

7. Can someone else do this instead of me?

Your time is your most valuable asset. If a task doesn't require your unique expertise, skills, or voice, consider delegating, automating, or eliminating it entirely. Protect your time for high-value work.

How to Use This Checklist

Weekly Review: At the start of each week, run your task list through these 7 questions. Score Each Task: If a task gets 4+ "yes" answers, it's a needle-mover. Prioritize it. Eliminate Ruthlessly: Tasks with 0-1 "yes" answers should be delegated, batched, or deleted. Daily Check-In: Before starting any new task, quickly ask: "Is this a needle-mover?"
